Working with images

When you click on the button “Images Find Replace Extract” in step 3 of the main screen, the “Find Replace Images” screen will be presented that will help you work with images in your documents.
This screen will allow you to review, update, replace, remove and extract images from your MS Office documents: jpg, gif, png, bmp, tif, tiff, ico, jpeg, wmf, emf, svg.
It is possible for performance reasons to remove some image types from processing if necessary. You can edit the list of image types in “Images Selection Regular Expression” on the Advanced Settings page (“Reset” next to it puts the full list back), please see here: settings page
This screen will read all MS Office documents selected in step 2 and show you thumbnails of the image(s). An image that is used in several documents is shown once. You can click “Cancel Processing” while the documents are being read.
The image list
Every image has its own box with a check box, the image type, the number of documents the image is in, its buttons and the thumbnail.
The background color of the box shows what will happen to the image:
- Black – no change.
- Blue – the image will be replaced with another image.
- Green – the image will be replaced with text.
- Red – the image will be removed.
Click on the image thumbnail to view the image, its size, and which office documents it is contained in. Click “Save & Return To Image List” to go back.
Very important is the button that is labeled “FILL” or alternatively “STRETCH”. Some images are more square in nature, others are more long than high, etc. This button will allow you to switch back and forth between how the thumbnail of the image is displayed, either exactly as is (FILL) or stretched to fill the entire thumbnail – you can try switching back and forth to see which one works best for your type of image.
Exporting images
You can export ALL images from ALL documents you selected on the main page into a separate folder. Click on the “Export Images” button and pick the folder. The folder is opened when the export is finished.
Replacing an image with another image
To replace an image with another image click on the “Repl w/Image” button of that image and select the image you want to substitute. This can be done 1 at a time, OR use the select and replace feature (see “Working with several images at once” below). The scaling will be preserved when the image is substituted.
The new image can be a jpg, jpeg, png, gif, bmp, tif, tiff, ico, wmf, emf or svg file.
After you pick the new image, the button changes to “Reset”. Click it to cancel the replacement of that image.
Image options
You have several powerful options that you can specify when replacing images. To change the defaults click on the “Img Options” button of the image you are replacing (the button appears after you picked the new image). These options are important when you are replacing an image, and the new image height and width are NOT proportional to the old image in your document. Select the appropriate option from below to make sure that the replacement looks correct! The following options are available to you:
- Maintain Original Image Dimensions (this is the default). When this option is selected, the original image in the document will be replaced with the new image, and the old size (both height and width) will be retained.
- Maintain Original Image Width. Automatically adjust Height to scale for new replacement image. When this option is selected, the height is changed to match the proportion of the new image height to width ratio, but the original image width is retained.
- Maintain Original Image Height. Automatically adjust Width to scale for new replacement image. When this option is selected, the width is changed to match the proportion of the new image height to width ratio, but the original image height is maintained.
- Recalculate height and width based on the new image DPI, pixel height and width using 72DPI standard. The height and width in the new document will be changed based on the dimensions of the new image. MS Office uses 72 DPI to figure out the physical size of the image when printed, so GOFR will first recalculate the physical dimensions of the new image using that image’s DPI, then convert to physical dimensions using 72 DPI, and that is the width and height that will be used.
- Scale final image up or down using a percentage %. After all the above calculations are performed, you have the option of increasing or decreasing the size of the image by sliding the bar left or right, or by typing the percentage into the box. The range is from -99% to +1000%.
- Remove any cropping in document for image being replaced. If the original image that you are replacing had some cropping applied to it, you can remove that cropping from that image.
Click “Save changes and Return To Image List” when done.
Replacing an image with text
To replace an image with text click on the “Repl w/Text” button of that image and type the text into “Enter Text to replace this image with:”.
There are several options available:
- When replacing with text, you can choose to select a different font than what is the default in your document.
- Click on “Change Font” to select the font in the Font Picker.
- Click “Reset Font” to go back to the document default.
- You can change the font size as well. Enter a whole number greater than 0. 0 or blank means the original document font size will be used. “Reset Font Size” sets it back to the document default.
Click “Save & Return To Image List” to keep the text, or “Cancel Text Replacement For Image” to drop it.
Later you can change the text with the “Txt Options” button of that image, or cancel the replacement with its “Reset” button.
Working with several images at once
First select the images by either one of the following 2 methods:
- Click on the check box of each image.
- Click on the “Select All Images” button (click it again to unselect all).
Then click one of the buttons at the bottom of the screen:
- Replace Selected w/Image – You can replace ALL images in your documents with 1 image! Very powerful feature. Pick an image from your computer.
- Replace Selected w/Text – replaces ALL the selected images with text. Follow the same process as in “Replacing an image with text”.
- Remove Selected Images – the background color of the selected images will turn red, and when you perform the run in step 4 all selected images will be removed from the office documents.
“Reset” at the bottom of the screen cancels all image changes.
Saving
Finally when you are all done please click on the button at the top of the screen titled “Save And Close”. You can also simply close the window, any changes you may have made will be preserved on the main screen of the program.
Please note that all of these operations still require you to go back to the main screen and select an output folder in step 4, and then click on the “Perform Substitutions or Extractions” button.
Trial version
The trial version of this program writes the text “Trial Version” across every replacement image in the final document and across every image exported with “Export Images”. Please purchase a license to remove the text.
