Apply Formatting After Replacement

This screen (“Apply Formatting After Replace”) can be reached by clicking on the button labeled “F” next to the “Text To Replace” in the text find replace screen.

Basically each option is a 3-Way switch.

The default is “Leave As Is” – this means that text will be left in the same format as in the original document.

If you choose “Apply Underline” and “Apply Bold”, underline and bold will be applied to the word after it is replaced!

If you also select “Remove Italics”, the text that is italicized will be replaced with a word in “Bold” and “Underline” and italics will be removed.

Options

Option Choices
Italics Leave As Is, Apply Italics, Remove Italics
Underline Leave As Is, Apply Underline, Remove Underline
Bold Leave As Is, Apply Bold, Remove Bold
Strike Thru Leave As Is, Apply Strike Thru, Remove Strike Thru
Font Color (with a color picker) Leave As Is, Apply Font Color, Remove Font Color
Highlight Color (with a color picker) Leave As Is, Apply Highlight Color, Remove Highlight Color
Font Size (with a box for the size) Leave As Is, Apply Font Size, Remove Font Size
Vertical Align (X squared) Leave As Is, Apply Vertical Align, Remove Vertical Align

The Vertical Align row is shown only when Word, PDF or PowerPoint files are selected.

The “Text to Replace” line at the top of the screen shows your text with the selected formatting. Click “Close Window” when you are done.

Currently Font Color, Italics, Underline, Bold and Strike thru are supported for all document types.

Text Highlight is supported for all document types except Excel.

Any combination is possible together, you can apply formatting to words such as Bold and Strike Thru for example.

Font color

You can add and / or remove font color. To add font color, use the color picker to select the desired font color. Then select “Apply Font Color” to make the text replacement in that specific color (when you pick a color other than black, “Apply Font Color” is selected for you). You can also remove font color if you wish. In that scenario the color selected by the color picker is ignored.

Highlight color

You can add and / or remove text highlight. To add text highlight, use the color picker to select the desired text highlight color. Then select either “Apply Highlight Color” or “Remove Highlight Color”. Please refer to this chart when working with highlight colors: Highlight Color Chart

Font size

To change the font size of the replaced text, type the size in points in the “Font Size” box and select “Apply Font Size” (it is selected for you when you type a size). The size must be between 1 and 1638 points; half points such as 10.5 are allowed. To leave the font size unchanged, choose “Leave As Is”.

Vertical alignment

Vertical Alignment allows you to apply special formatting to formulas, such as when you have X=Y2

There are some very interesting possibilities available with this option. You can for example use regular expressions to find all italicized words and remove italics, or apply another format!

Exis recommends that you look at the documentation for finding words formatted a certain way. You can find words with specific formatting, and apply a different format! How cool is that! You can take an italicized word and replace it with a word in bold. See documentation here: Find text formatted a specific way

Removing / Updating formatting in the entire document

If you need to replace (as an example) all text that is in red with the same text in black, you need to perform the following steps – this is a special case:

In the Text Find & Replace screen (parameter entry)

  1. Set text to find to be (.*) and apply regular expression
  2. Set the formatting that you want to find, such as text in red
  3. Set text to replace to be $1 and apply regular expression
  4. Set the formatting to what you would like it to be, such as changing the color to be in black.
